Select the correct options in the 'Versions' tab

It is very important to select the correct reset options at the beginning of the Diff process.

In the 'Versions' tab, you must select which version documents to update with your latest changes.

  • Any version documents that are not selected here (by using the checkboxes) will be moved to a new project with the old revision of the master document.
  • All version documents that are selected will stay in the current project and be updated in line with the new master document.

Select the correct 'Reset Options' for segments and images

1. Default Segment Reset Options:
If you have edited document text during your checkout procedure, you will need to select how those edits are applied within your version documents.

  • Indicate which job status should be applied to any modified segments (e.g. should the text segment be sent back to the start of the workflow, or should the status remain unchanged?). This is not necessary if the text is not in a content group.
  • Indicate if the version documents should be updated with the segment modifications that were made (i.e. reset to the 'source' text). Alternatively, the version-document segments can be set to stay as they currently are (e.g. if the only changes were spelling corrections, it probably does not make sense to force the text to be reset and re-translated).
  • Indicate if these changes should be applied to version documents that have a 100% completed workflow (i.e. fully reviewed and approved). If you select this option, the status of any finished jobs may be brought from 'FINISHED' back to 'EDIT', i.e., the workflow will be reactivated.

Screenshot: In the example above, we decided that each updated text segment should be marked as 'Needs Edit/Translation'. Furthermore, these text segments will be changed in all version documents, even if that text has already been changed/translated as a part of the workflow. Finally, these changes will also be made to all finished documents in this project.

2. Default Image Reset Options:
If you have edited any images in the document during your checkout procedure (especially if you have replaced an image with a new one), you will need to select how those edits are applied within your version documents.

  • Indicate which job status should be applied to any modified (or replaced) images (e.g. should the image be sent back to the start of the workflow, or should the status remain unchanged?). This is not necessary if the image is not in a content group.
  • Indicate if the version documents should be updated with the image changes made.
  • Indicate if these changes should be applied to version documents that have a 100% completed workflow (i.e. fully reviewed and approved). If you select this option, the status of any finished jobs may be brought from 'FINISHED' back to 'EDIT', i.e., the workflow will be reactivated.

Furthermore, these images will not be changed in any version documents wherein that image has already been changed as a part of the workflow. Finally, these changes will also be made to all finished documents in this project.

NOTE:
If, for any reason, the 'Diff Wizard' is interrupted before it has been completed (or you close it via the 'File' menu), you can resume where you left off. However, please recheck the settings in the 'Versions' tab to ensure that they are correct.
