Can I change which items are in a content group for a running workflow?

A workflow can be paused in order to make adjustments or changes to it. Therefore, it is possible to add new items to (or remove items from) a content group after a workflow has been active.

The screenshots in the example below detail adding content items to a running workflow, but the steps are the same for removing items from the workflow.

NOTE:
A workflow should only ever be paused when there is no user working on the version document.

Add new content to a job with a running workflow

Adding content to a running workflow involves the following steps:

  • Pause the workflow as normal
  • Open the master document and lock the versions
  • Add the new content to your content group and save your changes (alternatively, remove items from the content group)
  • Resume the workflow once more

NOTE:
All new content will be placed at the 'Edit Step'. This means that "finished" workflow may be "reopened" for the new content.

NOTE:
Content that has been removed is simply no longer editable/reviewable in the workflow.

In our example above, the original 22 items of content were at the final review step. Both the 'Edit' step and the first 'Review' step were complete. When the new content is added, the 'Edit' step immediately becomes active once more. The new content will be moved to the first 'Review' step once it has been translated. All of the previously completed items remain as they were.

How does adding new content affect an XML translation-file export?

An XML translation -file export is a snapshot of the translation content with a status of 'Needs Translation' at the time of the export.

This means that any translation export made before the new items have been added to the content group will not contain these new items.

If the new content also needs to be translated externally, there are two ways to approach this:

  1. Re-export the content group by clicking the 'Export' button in the 'Jobs' tab. This new file will simply replace the old XML file that is being translated.
  2. Import the original translated XML file, and then export a new XML file for offline translation. This new export will contain the new content.

NOTE:
When the original XML file is imported, the translations to the original items will be made in the document. However, if the translated items are not moved for review, they will be present again in the new XML export (i.e. because they were not marked as 'translation finished').
