Why is my exported document not attached to my email?

Created on 18th August 2015 at 11:30 by Jamie O'Connell

In one2editâ„¢, a file that is exported via email is not attached to that email. This is because the size of generated files can be far in excess of what is allowed by most email servers.

Instead, a download link is generated for the end-user to use. A placeholder for this link must be inserted into the email by the administrator.

This can be done by either clicking 'Insert Variables... > Download Link', or by typing '{download.uri}' into the body of the text where the link should appear.

Exporting via 'Project > Export Document'

  • Click 'Project > Export Document', and select 'Generate Link' from the 'Target' menu to send a download link by email.
  • Options to create the email will appear. Fill in the recipient, subject, and message body as you would for any other email.
  • Variables can be inserted to the body text by using the 'Insert Variables...' drop-down menu below the 'Message' field. Be sure to insert one for the download link.
  • Clicking 'Export' exports a file of the chosen type, and then sends the email containing a generated download link.

Exporting via Workflow Action

You can also automatically export a file at a specific point in a workflow.

  • Assign an 'Export Document' action to the relevant position in the workflow and double-click it to open the 'Action Editor' window, as shown above.
  • Fill in the recipient, subject, and message body as you would for any other email. Recipients can also be chosen from the 'Recipient(s)' menu.
  • Variables can be inserted to the body text by using the 'Insert Variables...' drop-down menu below the 'Message' field. Be sure to insert one for the download link.
  • When this workflow action is executed, a file of the chosen type will be generated, and an email sending a generated download link will be sent.
