How do I use the 'Search and Replace' tool in the Job Editor?

Words and phrases can be searched for (and replaced, if desired) using the 'Search and Replace' tool.

Open 'Search and Replace' window

Click on the 'Search and Replace' button (the 'binoculars' icon) in your 'Job Editor' toolbar to open the 'Search and Replace' window.

Add a 'Search' term

  1. Type a term for which you want to search into the 'Search' field. In this example, we are going to search for the word 'orange'.
  2. Click 'Search'.
  3. All search results from the document will be displayed in the 'Result' field of the 'Search and Replace' window. The results take the form of a document structure.
  4. By default, the first appearance of the search term is selected in the results. It is also automatically displayed in the editor window, with the search term highlighted.

NOTE:
The 'Ignore Case' option is selected by default. This will find all instances of the search term, regardless of upper and lower case lettering.

NOTE:
It is possible to search for a pattern using a regular expression. To do this, check the 'Use Regexp' box and then type your regular expression into the 'Search' field.

Add a 'Replace' term (if desired)

If you wish to replace your search term with different text, this is also possible.

  1. Type the replacement text into the 'Replace' field. In this example, we are going to replace 'orange' with 'apple'.
  2. Click 'Replace Selection' to replace the selected text (i.e. that matched by the 'Search' field) with the text from the 'Replace' field.
  3. Each search result must be checked and replaced one-by-one. After clicking 'Replace Selection', the next item in the search results is automatically selected.
  4. The changed text is not automatically rendered upon replacement. Clicking 'Replace Selection' will change the text in the editor window, but the changes will only be rendered when an 'Apply' button is clicked (or another event triggers a rendering of the spread).

NOTE:
It is possible to repeatedly click 'Replace Selection' to quickly move through a document and replace all search matches with the replacement text.
However, it is important to remember that the replacement text will be used 'as is', so care needs to be taken by the user when replacing text in this way.
In the example above, the word 'apple' (all lower case) would be used to replace both 'Orange' and 'orange' (both of which are search matches because the 'Ignore Case' option is checked).

Rendering your changes

Clicking the 'Apply' button in the editor window will render all changes made to that point.

All rendered changes are then visible in the search results (1) and the document preview (2), as well as the editor window (3).

NOTE:
It is not necessary to render each change separately. Clicking 'Apply' after changing several segments will render all changes at once.

NOTE:
If the 'Search' button is clicked again, the results will no longer include those segments that have been changed to omit the search term.

Can I perform a one-click global 'search and replace'?

It is not possible to perform a global 'search and replace' with one click, because each change should be checked before it is rendered.

In a highly-designed document, each change should be signed off on by a person. This will reduce the number of review/approval cycles that need to take place in the workflow.
