Knowledge Base / FAQs - one2edit™ v4 / Tips for Checkout/Check-in/DIFF Process - v4

Where possible, keep existing Items intact during a Checkout

Created on 14th October 2026 at 14:12 by Jamie O'Connell

If updating the design of a checked-out document, it is better to move and manipulate existing frames where possible. This allows one2edit™ to automatically relink items during a DIFF, because the Adobe® InDesign® IDs of those items will not have changed.

If you instead use cut/paste (or copy/paste and delete), the Adobe® InDesign® ID of the original item will be lost. Then, during the DIFF, you will need to manually relink these frames and segments.

Depending on the number of changes made to the document, this could be more time-consuming than simply adapting the existing items during the redesign phase.

NOTE: Converting a document to IDML and back to INDD will change all of the frame IDs. This is because an IDML file is a description of a document, and saving IDML to INDD is effectively creating a brand new InDesign document.

Move & edit Items

When frames are kept intact (i.e. not cut-and-pasted), their InDesign IDs are the same in both the new and old revisions of the document.

Therefore, the DIFF can automatically link the frames in the new revision to their counterparts in the old revision.

NOTE: Obviously new frames in the document will not be linked to anything automatically, as there is no counterpart for them in the old document.

Cut & paste Items

When frames are cut-and-pasted (or deleted and re-created), their InDesign IDs will change.

Therefore, the DIFF cannot automatically link the frames in the new revision to their counterparts in the old revision, and you must do it manually.

NOTE: Any text segments within these frames will also need to be manually relinked during the Segments stage of the DIFF process.

NOTE: Marking a text frame as New during this stage of the DIFF will reset all text in that frame. Please take care that you only mark new frames as New, and relink all other frames to their pre-existing counterparts.
