Create a v4 User Group

User groups grant specific permissions to the users in those groups. For example, the administration of projects and workflows, the delegation of jobs, the administration of users, etc.

NOTE: These permissions are not for document editing. Editor permissions are controlled via Content Groups and Content Rules.

NOTE: If a user is not assigned to a user group, then that user will not see the Jobs in their list. This is also true for system-admin users.

Settings > Users and Groups

Expand the main Navigation menu, and click on Settings > Users and Groups.

This opens the Users and Groups dialog.

Do not yet select any user group, unless you wish to create a child group with the selected group as a parent.

NOTE: You can de-select a selected item in one2edit™ by using the usual method for your computer's operating system (e.g. CMD-click on Mac OS X, CTRL-click on a Windows PC, etc.).

Create a User Group

  1. Click Add Group in the Action Menu.
  2. Give the new group a meaningful name and description.
  3. Click Apply.
  4. The new user group will appear, as shown.
  5. The group's Permissions tab will also become active, once the group has been created.

NOTE: Clicking Apply instead of Save does not close the dialog, which can be useful if you wish to assign permissions to the user group.

Assign Permissions to a User Group

  1. Open the Permissions tab. This tab will only be active if you have created the group, as mentioned in the previous step.
  2. While you can, of course, scroll down through the permissions, you can also click the headings to expand/collapse the two sections.
  3. Check the boxes beside the permissions that this group should have.
  4. Click Save.

NOTE: You can assign any subset of available permissions to a group. For example, if you want the users in this group to delegate jobs to other users on the workspace, you should check the Job - Delegate option. All permissions are described in their own Knowledge Base article.
