Step 1: Check out the document – one2edit™ File System

Even when a project is in-progress, you can still make changes to the master document. These changes can then be rolled out to all of the version documents in that project. For example, if you wish to edit the layout or design of the documents, you can check out the document, edit it in Adobe® InDesign®, and then check the updated document back in to one2edit™.

At that point, one2edit™ needs to know how to manage the changes that were made. This is managed via the DIFF process.

The DIFF can also be used for documents that are not yet 100% complete, but the content is ready for translation. For example, some images may still be missing, or some layout decisions are pending. This can save valuable time, as the translations can be started, and the final design changes can be made at a later time and applied to the translated documents.

These workshops will cover how to check out and check in your document, as well as manage your changes during the DIFF process.

This workshop is about how to check out a document.

IMPORTANT: Check the InDesign® version of the Master Document

Because one2edit™ works directly with Adobe® InDesign® INDD files (not IDML files), it is important to check that you have the correct version of InDesign installed locally on your computer to allow you to edit this file offline.

To check what version of Adobe® InDesign® is required to edit the checked-out file, do the following:

  1. Open the Project Details dialog by clicking Properties in the document's option menu
  2. Clicking the document's preview thumbnail will also open the Project Details dialog
  3. Check the InDesign Version field for the document

If you do not have this version of Adobe® InDesign® installed locally, you will not be able to save the document as the correct InDesign version. Please speak to your one2edit™ administrator before checking out the document if you encounter this situation.

Check Out the Document

Click Check Out Document in a master document's option menu to check it out of the one2edit™ system.

This opens the Check-out Document dialog.

NOTE: The checkout option is only available on master documents. It is not possible to check out a version document for external editing. The reason for this is that the 1:1 relationship between the master document and its version documents must be maintained. In other words, every version document must contain the same of content items as the master document. For example, a version document cannot have more or fewer pages than its master document, nor can it contain a different number of text or image frames.

Check-out Document – one2edit™ File System

The Check-out Document dialog displays the name of the INDD file, its one2edit™ ID, the name of the Asset Project from which it was linked, and the Asset Path. The Asset Path value is the asset's UUID within the one2edit™ File System, and not a typical path with slashes.

Click Check Out to make the original document writeable outside of one2edit™ (i.e. editable using Adobe® InDesign®).

NOTE: You can use the Reveal in Asset Browser option for the document, even after checkout, if you wish to display the checked-out document in the Asset Browser. See the step below for more details about this.

NOTE: When using the one2edit™ File System, the checked-out document can be edited in situ using the one2editFS Desktop Client and your regular file browser.

NOTE: If the Check-out Document dialog has a Choose button beside the Asset Path, then this document was not linked from the one2edit™ File System.

Master Document is checked out

  1. The status of the master document will change from EDIT to CHECKOUT, which indicates that it is currently checked out of the system.
  2. You will also receive a notification that the checkout has been performed.

A checked-out document cannot be edited within one2edit™. The master document will become editable again (i.e. will change back to EDIT status) once the document has been checked back in.

NOTE: Version document workflows may still be running and Jobs can be worked on even while the master document is checked-out.

NOTE: It is not possible to cancel a checkout when using the one2edit™ File System. You must instead check the document back in and perform a DIFF.

Optional: Reveal in Asset Browser

If you are not sure in which folder your InDesign document is located, clicking Reveal in Asset Browser in the document's option menu will reveal it in the Asset Browser.

You can then download the file directly, or browse to it using your regular file browser (assuming that you have the one2editFS application installed).

NOTE: You must edit the checked-out INDD file. If you edit another copy of the file, even if it is a copy of the same file, the IDs of frames, etc. within the document will be different to what is stored in one2edit™. This will cause issues for you during the DIFF, and require a lot more effort when checking the document back in. You may even lose completed translation work.

You successfully checked out your document, and can now make the desired changes within Adobe® InDesign® on your local computer.

NOTE: If the document does not open in your local copy of Adobe® InDesign®, it may mean that you have an older version of Adobe® InDesign® than is used on the one2edit™ system. Please speak to your one2edit™ administrator about this.
