Marking items as "Rejected"

Job items can be 'Rejected' back to any previous workflow step by a reviewer. The job items will then become active in the step to which they are rejected, sometimes re-opening a previously completed job step.

This lesson will show how to reject job items back to a previous workflow step.

NOTE:

Please keep in mind, that it is not possible to reject job items from the 'Edit/Translation Step'. The 'Edit/Translation' step is the first step in any workflow. Therefore, there are no previous steps to which items can be rejected.

Job items

Job items can be moved individually through a workflow.

The progress bar next to a job in the 'Jobs' tab shows you how many job items are in your current job.

Example in the screenshot above:

  • Total number of 'New' (yellow) items in your job: 61 job items (out of a total of 97 items in the overall job)
  • Number of items that have not yet been sent to your job step: 36 job items (the gray portion of the progress bar)

Rejecting job items

There are four ways to 'Reject' an item:

  1. via the 'Content Marker' menu
  2. via the text editor drop-down menu
  3. via the thumbnail spreads
  4. via the 'Structure' panel

The marker for a rejected job item turns red in both the document preview and the 'Structure' panel. If notes have been added to explain the rejection, a yellow 'Note' icon is attached to the corresponding job item.

NOTE:

You can also mark items back to 'New' using the same methods.

NOTE:

You can 'Reject' all items on any spread at once by using the thumbnails. You do not need to have the spread preview loaded at the time. You can also highlight multiple items across multiple spreads in the 'Structure' panel and 'Reject' them all in one click.

NOTE:

Depending on the assigned user privileges, users may or may not add notes to job items.

When an item is marked as rejected, a 'Reject' window pops up.

  1. The reviewer can reject an item back to any previous workflow step. By default, the 'Forward to' option is the first workflow step (i.e. Edit/Translation).
  2. The user is prompted to supply a reason for why the item was rejected. This is added to the rejected item as a note.

If you click 'OK' in the 'Reject' window without adding any reason, a warning message pops up to ask if you want to add a reason.

  • If 'Yes' is clicked, the focus will return to the open 'Reject' window.
  • If 'No' is clicked, the 'Reject' window will close and no note will be added to the rejected job item.

NOTE: You are not asked if you wish to commit 'rejected' items

When exiting the 'Job Editor', you are not asked to confirm the rejection of items to a previous workflow step.

As soon as you exit the job, all 'rejected' job items will be sent back to the workflow steps chosen in the 'Reject' window.
