Export / Import an XML Translation Job - one2edit Translation / XLIFF

This lesson demonstrates how to export a translation job as XML, and then import the translated XML file.

NOTE:
Exporting a job for translation will lock that job until it has been re-imported.

Click 'Export'

(1) In your 'Jobs' tab, click the 'Export' button in the 'Action' column.

(2) The number in in the 'ID' column is the 'Job ID'. This ID number will also be the name of your exported file (cf. following screenshots).

Choose the format and source language of the exported XML file.

Format:
Select the export-format.

  • one2edit Translation, one2edit Translation (Absolute Tagging): These are proprietary XML formats (.o2et or .o2ea) based on the XLIFF file types. They contain all of the necessary information for translation with a third-party translation system.
  • XLIFF: This file-type (.xlf) adheres to the XLIFF standard, and should be supported by any third-party translation system that supports XLIFF.
  • Excel: This XML file-format can be opened with Microsoft Excel. It is not suitable for use with translation systems. There is a specific lesson in the one2edit™ knowledge base about translation using the Excel XML file type.

Source language:
Choose your source language. The default source language is the master-document language. However, you can choose the target language of another version document in this project, if the full workflow of that version document is 100% complete.

NOTE:
We do not recommend using the Excel export format in combination with Translation Memory Systems.

Click 'Export'

After defining your settings (1), click 'Export' (2) to start the export process (3).

NOTE:
As soon as the export process starts, the file will be locked and unavailable for editing in one2edit™. This lock remains in place until the translated XML file is imported, or 'Job > Unlock' is chosen from the menus.

When the export is completed, the file needs to be downloaded.

Click 'Start Download' to choose where to save the file on your computer.

NOTE:
The default file name will be the ID of the workspace and job, e.g., 1-123.o2et.

NOTE:
You should not change the file extension, as this will impede your ability to re-import the translated file later on.

Edit file

The XML file can now be edited with your preferred translation tool/system.

Click 'Import'

Once you have translated your XML file, import the content back into one2edit™ by going to the 'Jobs' tab and clicking 'Import'.

Clicking the 'Import' button opens the 'Import Job' window.

(1) Set status for translated items
Select the status that you wish to apply to any edited job items (in other words, any text segments that were changed in the XML file):

  • 'Needs Translation': the content markers will remain yellow and the item's status will remain as 'New'.
  • 'Translated': the content markers will be set to green (i.e. marked as 'Done). However, the content will remain in the 'translation' workflow step. You can edit and review your translations in one2edit™, with the translated items clearly marked in green.
  • 'Translation Finished': all edited job items will be committed to the next step in the workflow (if one exists). Therefore, you may not have the chance to edit your translations in one2edit™.

(2) Click 'Import'
Click 'Import' and select the translated XML file to import.

NOTE:
The default value for this status can be set by your one2edit™ administrator via 'Settings > Client Workspace Settings'.

NOTE:
The status selected in the 'Import Job' window will be applied to all changed segments in the XML file. Therefore, if ‘Translation Finished’ is chosen, all changed segments will be automatically sent to the next workflow step (if one exists) without being available for further editing in the current translation job step. However, if 'Translated' is chosen, the items will be marked as "Done", but not automatically sent to the next workflow step. This would allow the translator to check and edit the text in one2edit™ before the review process.

When you import your XML file, one2edit™ displays some statistics.

  • Translations found: This is total the number of job items (i.e. text segments) contained in the file.
  • Translations imported: This is the number of text segments that were edited/changed in the file.
  • Translations skipped: This is the number of unchanged text segments in the file.
  • Erroneous translation: This is the number of text segments that contain technical issues.
  • Notes: This is a summary of all actions performed during the import.
  • Warnings: Any issues that occur during the translation process will be noted in the 'Warnings' window.

NOTE:
If you do see any warnings or erroneous translations, please contact your
one2edit™ administrator.
