Assigning a Workflow to a Version Document

In this lesson, you shall assign a workflow to a version document in one2edit™.

Check the Document

It is possible to see that the document does not yet have a workflow associated with it (see above).

Open the Workflow View

To open a document, either:

  1. double-click on the document or
  2. select the document and click 'File > Open'

Click on the 'Assign Empty Workflow' button to assign a workflow.

NOTE:

There will be a separate Workflow Track for every content group that exists in the master document.

You should now see an empty translation workflow track on the screen. If your content group was an 'Edit Group', then there would be no 'Language' part to the workflow.

  1. Double-click on the 'Language' step in the workflow to open the 'Language Sets' window.
  2. Select the language set folder.
  3. Select the language set.
  4. Drag the appropriate language to the 'Language' workflow step.
  5. Close the 'Language Sets' window.

Any workspace user can be added to the workflow by using the 'Users and Groups' window

  1. Double-click on the user field in the 'Edit Step' workflow step to open the 'Users and Groups' window.
  2. Select the appropriate user group.
  3. Drag the user to the workflow step.
  4. Close the 'Users and Groups' window.

You can also add variable users by right-clicking and using the context menu.

  1. Right-click in the user field.
  2. Select 'Workflow starter' from the context menu.

NOTE:

The 'Workflow starter' is a variable username. If you now start this workflow, you will be assigned to the review step. However, if someone else starts this workflow, then that person will be assigned to the review step instead.

You can also assign actions to your workflow in order to automate some parts of the workflow. In this example, you are going to commit your translations to permanent translation memory after the translation and review steps have been completed.

  1. Double-click in the 'Steps Completion' action field to open the 'Workflow Actions' window.
  2. Drag the desired action to the workflow.
  3. Close the 'Workflow Actions' window.

NOTE:

'Step Users' should not be used as a recipient in the 'Steps Completion' area, as there are no users assigned to that area.

To start a workflow, simply click on the 'Start Workflow' button as shown.

In this example case, the review job will now be assigned to you because you are the workflow starter.

'Workflow > Close'

Click 'Workflow > Close' to close the workflow view.
