Creating a Template

Templates can be used as 'one-click" solutions for creating version documents (or duplicating masters) and assigning workflows in one2edit™.

Select Templates Directory

Select a directory under the 'Templates' tab.

This is where the new template will be created.

Click 'File > New Template'

The 'New Template' window will open at this time.

NOTE:
The template is not created until the 'Apply' or 'Save' buttons are clicked.

Decide on Template 'Mode'

A template can have two 'modes':

  • Create Version
  • Duplicate Document

The default option is 'Create Version', whereby a version document will be created in the chosen project. This was what always happened with a template before this choice was implemented.

The other option is 'Duplicate Document', whereby a duplicate master document is created in a folder of your choice. The duplicate master will also have a workflow applied to it (a template must be used to create a job with a running workflow).

NOTE:
The 'folder' choice for 'Duplicate Document' will default to the same folder in which the original master document resides. This can, however, be changed.

  1. Give the template a name.
  2. If you wish to find this template via the search bar, enter any relevant search tags (e.g. product number, etc.).
  3. Write a template description, describing anything pertinent about this template.
  4. Enter a 'default version' name.
    - If the template will create a version document, this text is the name that will be given to each version document.
    - If the template will create a duplicate master document, this text will be use for both the name and version of that duplicate master document.
    - If it is left blank, the version document will also be blank.
  5. Write a default description. This will be the description for each document created by this template.
  6. If you want your users to manually edit the name of the document when they are starting the template, check the 'allow template-starter to change default values' box.
  7. If you your users should be able to select a previously completed document as the starting point for their new document, check the 'allow template-starter to use finished versions as source' box.
  8. Finally, click the 'Document' field to choose the master document from which the new documents will be spawned.

NOTE:
In the example above, we are going to use the template to create version documents in the selected project.

  1. Select the master document from the 'Select Document' window.
  2. Click 'Select'.

Click 'Apply'

Click the 'Apply' button to create the template.

NB - It is necessary to create the template before assigning a workflow.

  1. You will see the new template in the 'Templates' section of the window, as shown.
  2. Furthermore, the 'New Template' window is now called 'Template Details'.

We are now going to add a workflow.

Click on the 'Workflows' tab in the 'Template Details' window.

Open the 'Workflows' tab in the main one2edit™ window.

Drag and drop a workflow from the 'Workflows' section to the 'Template Details' window.

Click 'Save'

Click 'Save' to save this template.

Switch back to the 'Templates' tab in the main one2edit™ window.

Click 'Start'

Click 'Start'

To start a template, click the 'Start' button for that template.

'Jobs' Tab

At this point, the focus jumps to your 'Jobs' tab.

NOTE:
The job will only be displayed in your 'Jobs' tab if you are one of the workflow users. However, the view will switch, even if you are not in the workflow. This is normal behaviour.

Under the 'Projects' tab, there will be a version document that was created by starting the template.

This version document's filename will be equivalent to the 'Default Version' value given when creating the template.

NOTE:
If your template was set up to duplicate the document, then a new master document will have appeared in your chosen folder.
