Using the Document's 'History' panel (Filter, Selection, Export)

The 'History' panel shows the change history for the current document.

This lesson covers some useful tips on how to use it.

NOTE:

The 'History' tab in the 'Project Details' window shows the same information, which can be filtered and exported in a similar way.

(1) The document's history is presented in chronological order.

(2) The number of top-level items for each date are shown on the right-hand side of the panel.

(3) By default, the 'All' view will be selected when you open the 'History' panel.

NOTE:

Changes are only displayed when the document has been explicitly saved (i.e. by clicking the 'Save' button).

If changes have only been rendered in the document, they will not appear in the 'History' panel.

'All'

(1) Each date can be expanded to reveal the top-level items that occurred to the document on that date.

The top-level items are shown, along with the names of users and the times at which those changes were made/saved.

(2) If no name is shown beside an item, then the previously-shown name applies.

For example, on 17th December at 16:57, the document was edited by 'Jane Recipe'.

(3) Top-level items can be expanded further to see more detail.

For example, 'Edit Segments' is a top-level item, but there may be multiple individual segments shown under that top-level item.

(4) Clicking any segment or image will highlight that item in the spread.

Double-clicking a semgent or image will jump to the spread preview on which that item is located, and then highlight the item.

'Selection'

(1) If you are only interested in the change-history of a certain segment or image, select the element by clicking on it in the document preview.

(2) Click 'Selection' at the bottom of the 'History' panel.

(3) The 'History' panel will display only the change history for the selected element.

NOTE:

If no changes have been saved for the selected element, nothing will be displayed in the 'History' panel.

NOTE:

All items will be shown as a simple list. No date-groups will be displayed. If grouping by date is required, please choose 'Selection' from the history 'Filter' (next step).

'Filter'

(1) Click the 'Filter' button at the bottom of the 'History' panel to open the 'History Filter' window.

(2) The 'History Filter' window will be empty. The 'Group by Date' and 'Show Hierarchy' boxes will be checked by default. These are described in more detail below.

(3) There are five filters to choose from within the 'Add' menu. Each of these filters will be described in more detail below.

(4) After you have selected your desired filters, click 'Apply' to apply the filter. The filter's result will be shown in the 'History' panel.

(5) Click 'Clear' to switch off the filter. The 'History' panel will then show the entire document history (until the 'Apply' button is pressed again).

NOTE:

It is possible to combine filters from the 'Add' menu in order to gain your desired results.

NOTE:

Clicking 'All' or 'Selection' in the 'History' panel will also clear all filters.

You can filter the document history by the type of action performed by choosing 'Action' from the 'Add' menu.

Then select one (or more) action types from the 'Type' area and click 'Apply'.

Example:

In the example above, we chose 'Edit Segment' as action 'Type', thus showing only the change-history entries that involved the editing of segments. You can expand the 'Edit Segments' items to view more detail.

NOTE:

When looking at an edited segment, the portions highlighted in green indicate new characters that were added. The portions highlighted in red with a strikethrough indicate characters that were deleted from the segment.

You can filter the document history by the user who made the change by choosing 'User' from the 'Add' menu.

Then select a user from the 'User' drop-down menu and click 'Apply'.

Example:

In the example above, we chose the user John Recipe. As a result, only those actions done by John Recipe will be displayed in the 'History' window.

NOTE:

It is not possible to filter for multiple users at once. If you add two (or more) separate 'User' filters to the 'History Filter' window (which is possible), only the user chosen in the final 'User' filter will be used. Any others will be ignored.

You can filter the document history by a time range by choosing 'Time' from the 'Add' menu.

Then select the 'From' and 'To' dates and times to focus your filter.

NOTE:

It is not possible to filter for multiple time ranges at once. If you add two (or more) separate 'Time' filters to the 'History Filter' window (which is possible), only the time-range chosen in the final 'Time' filter will be used. Any others will be ignored.

NOTE:

The date is given in the American format (MM/DD/YYYY). Clicking on the date, however, will display a calendar from which dates can be chosen.

NOTE:

The time is given in the 24-hour format.

'History Filter' Window - Add > Selection

You can filter the document history by the document element you have selected by choosing 'Selection' from the 'Add' menu.

This displays the same results as when clicking the 'Selection' button at the bottom of the 'History' panel.

However, using the 'Filter' method enables you to display the filter results grouped by date, i.e., with an expandable tree (the 'Group By Date' and/or 'Show Hierarchy' boxes need to be checked).

NOTE:

If no document element is selected, or if no changes have been made to the selected element, the 'History' panel will display 'No Items Found'.

NOTE:

Because it is a filter, the 'Selection' filter attribute can be combined with other filter attributes. For example, show all notes added to a particular segment, or show only edits to an image, etc.

This is not possible if the 'Selection' button is used, where all actions to the selection are shown.

You can filter the document history by status changes by choosing 'Status' from the 'Add' menu.

Then select one or more statuses from the list to filter in only those times when an element's status was changed to the selected status.

Example:

In the example above, we only want to display those times when a status was changed to 'Finished'. Therefore, we selected the status 'Edit done/Finished' in the 'Status' list from the 'History Filter' window.

NOTE:

Clicking or double-clicking on a status-change will not highlight the affected document element in the preview window.

'History Filter' Window - 'Show Hierarchy'

The 'Show Hierarchy' option will show or hide the top-level items in the filtered 'History' panel.

For example, the 'Edit Document' hierarchy is not shown in the screenshot above, so there is nothing to expand below the date groupings.

NOTE:

These check-boxes will affect every filter result in this way. For example, if the 'Show Hierarchy' box was unchecked for a 'User' filter, no top-level items would be shown in those results either.

The 'Group By Date' option will show or hide the date-level hierarchy in the filtered 'History' panel.

For example, the date groups are not shown in the screenshot above, so only the top-level changes need to be expanded.

NOTE:

These check-boxes will affect every filter result in this way. For example, if the 'Group By Date' box was unchecked for a 'User' filter, no date groupings would be shown in those results either.

If both the 'Group By Date' and 'Show Hierarchy' boxes are unchecked, there will be a simple list with no accordions/hierarchy to expand.

'Export'

'Export'

(1) You can export all currently-visible history data (i.e. what is currently shown in the 'History' panel) via the 'Export' button in the lower right corner of the 'History' window.

(2) Click the 'Export' button in the 'Export History' window to create and download an XML version of the history data.
