Document Structure Filters

You can filter the content of the 'Structure' panel in the document editor.

  • In the Master Document Editor, this is very useful for dragging content to a content group in bulk.
  • In the Job Editor, this is very useful for filtering out (for example) all but the overset text segments.

This lesson demonstrates how to apply filters and how each filter option works.

NOTE:

Items that are filtered out of the document structure cannot be edited (i.e. the status markers will disappear) until the filter is either switched off or changed. In other words, the spreads only show 'active' items that have not been filtered out of the structure. As usual, spreads containing no active items are 'grayed out' in the thumbnail section.

How to select a Filter

To filter the items within the document structure:

  1. Click on the 'Filter' area to expand it.
  2. Click on the '+' icon to open the filter menu.
  3. Choose a property to add to your filter.

NOTE:

Multiple filters may be chosen at once, and their properties combined for precision purposes.

For example, all text items that are in overset (via 'Text Overset') on a specific layer (via 'Item Layer').

How to apply a Filter

To apply a filter to the document structure, do the following:

  1. Choose a filter option from the menu (i.e. the '+' icon). Perform any setup requirements (e.g. checkboxes, choices from a list, etc.) for your chosen filter option.
  2. Click the 'Apply' button to apply your chosen filter to the document structure. (this is a toggle button, so clicking this button again will switch the filter off)
  3. The structure window now displays only those items that conform to your chosen filter.
  4. The bottom of the 'Filter' area shows a summary of what is now shown in the document structure. In our example above, there is one text segment and zero images.
  5. In the document preview, only those items present in the structure are now 'active'. Items that were filtered out are 'inactive' (status markers are gone). As normal, any spreads that no longer contain 'active' items are grayed out.

NOTE:

In this example, we have chosen 'Text Overset' with the 'Match Oversets' option checked. This will filter out everything except for text segments that contain overset text.

How to combine multiple Filters

To apply a combination of two or more filters to the document structure, do the following:

  1. Choose multiple filter options one at a time from the menu (i.e. the '+' icon). Set up all chosen filters.
  2. Click the 'Apply' button to apply your chosen combination of filters to the document structure.
  3. The structure window now displays only those items that conform to the filter combination (logical AND).
  4. The bottom of the 'Filter' area shows a summary of what is now shown in the document structure. In our example above, there are no text segments and three images.
  5. In the document preview, only those items present in the structure are now 'active'. All items that were filtered out are 'inactive' (status markers are gone). As normal, any spreads that do not contain 'active' items are grayed out.

NOTE:

In this example, we have chosen both 'Item Layer' and 'Item Type' filters. We have used this combination to filter out everything except the images on the layer named 'englisch'.

NOTE:

More than two filters may be combined, if required.

All filter options

The filter options for the 'Structure' panel are as follows:

Item Status:

  • You can filter the document structure by the specific status of job items, e.g., all items marked as 'New'.
  • Multiple statuses can be combined if desired, e.g., all items marked as 'Translated' or 'Done'.

Item Type:

  • You can filter the document structure by the type of item, e.g., all images.
  • The item types can be combined, e.g., all text segments and delimiters.

Item Revision:

  • You can filter the document structure to show items that were edited during a specific date and time range, e.g., show all items edited between 10:00 and 11:00 on Monday.
  • It is also possible to filter by revision numbers, e.g., all items that were changed during revision 9 and 10 of the document.

Item ID:

  • You can filter the document structure by the ID of an item.
  • An item's ID can be found in the 'Text Info' panel or 'Image Info' panel.

Item Layer:

  • You can filter the document structure by the document layer, e.g., all items on the layer named "copy".
  • Multiple layers can be chosen at once, e.g., all items on the layers named "copy" and "image".

Text:

  • You can filter the document structure with a text filter, e.g., show all text segments containing a specific product name.
  • Case-sensitivity can be switched on or off.
  • Regular expressions can be used for pattern matching.

Text Attribute:

  • You can filter the document structure by the styling attributes of text, e.g., paragraph style, text size, etc.

Text Overset:

  • You can filter the document structure to show (or hide) all text segments containing overset text.

Image Path:

  • You can filter the document structure by the filename/path of an image, e.g., all images with "iStock" in the filename.

NOTE:

Multiple filters may be chosen at once, and their properties combined for precision purposes. For example, filter out all text items except those that are in overset (via 'Text Overset') on a specific layer (via 'Item Layer').

'Item Status' Filter

You can filter by a specific workflow status via the 'Item Status Filter'.

  1. Select 'Item Status' from the filter menu and choose the appropriate status (or combination of multiple statuses).
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter. In our example above, we are filtering in all items that are marked as 'Done' in this workflow step, but not yet committed to the 'Review' step).

NOTE:

It is possible to select multiple statuses at once.

NOTE:

The name of a review step appearing in brackets after a status indicates that only items active at that review step can have that status.

In the example above, once an item is marked as 'Done' in the 'Edit/Translation' step, it will be assigned the status of 'Edited' (or 'Translated' in a translation workflow). Once that item of content is committed for review (i.e. the user closes the job and commits the 'Done' items for review), those items are automatically given a status of 'Edit done / Needs Review (Review)'.

'Item Type' Filter

You can filter by items of a specific type: Texts; Delimiter; Images.

The selection of item types may be combined, e.g., both text segments and delimiters.

  1. Choose 'Item Type' from the filter menu to show the 'Type Filter'. Check the box(es) of the item types you want to filter.
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter. In our example above, we are filtering in all images.

'Item Revision' Filter

You can filter the document structure to show items that were edited during a specific timeframe, e.g., show all items edited between 10:00 and 11:00 on Monday.

It is also possible to filter by revision number, e.g., all items that were changed during revisions 9 and 10 of this document.

What is a 'Revision'?

When changes are saved in a document, the 'revision' number for that document is incremented. You can, therefore, filter in all of the items that were changed during a specific revision of the document.

  1. Choose 'Item Revision > Date' from the filter menu to filter by a timeframe. Choose 'Item Revision > Revision' to filter by specific revision numbers.
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter. In the example above, we are filtering in all items that were changed during a specific timeframe.

NOTE:

If you are only interested in seeing the revisions for a specific text segment, you can also use the 'Revisions' section of the 'Segment Info' panel.

'Item ID' Filter

You can filter by the ID of an item.

  1. Fill in the ID to the 'Item ID' filter.
  2. Click the 'Apply' button to apply the filter.
  3. The 'Structure' window now displays only the item for which you searched.
  4. The ID of an item can be found in the 'Segment Info' or 'Image Info' panel.

'Item Layer' Filter

You can filter by the layers within the document, e.g., display only the items on the "layout" layer.

  1. Choose 'Item Layer' from the filter menu and choose the appropriate layer (or combination of layers).
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter. In the example above, we are filtering in only those items from the 'layout' layer.

NOTE:

Multiple layers can be chosen at once.

NOTE:

This filter can be useful if a document has a structured design (e.g. all text to be translated is on a single layer).

'Text' Filter

You can filter the document structure using a 'Text' filter.

  1. Choose 'Text' from the filter menu to open the 'Text Filter'. Type the text (or regular expression) into the text box.
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now only displays text items that conform to your filter.
  4. In the document preview, only those items present in the structure are now 'active'. In the example above, only those segments that contain the word 'orange' are active.

NOTE:

If your filter is case sensitive, be sure to check the 'Case Sensitive' box.

NOTE:

If you are using a regular expression for a pattern match, be sure to check the 'Use Regexp' box.

'Text Attribute' Filter

You can filter by text-style attributes, e.g., paragraph style name, text size, leading value, etc.

  1. Choose 'Text Attribute' from the filter menu and select a value. The available values are determined by their presence within the InDesign® document (e.g. style names, etc.).
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter. In the example above, we are filtering in only those segments to which the 'Subheadline' paragraph style has been applied.

NOTE:

The 'Expert' attribute permits the user to type in the name and value of a styling attribute. This could be useful if it does not feature on the list for some reason.

'Text Overset' Filter

You can filter the document structure to show (or hide) all text segments containing overset text.

  1. Choose the 'Text Overset' attribute and select if you wish to filter in or out the segments that contain overset text.
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now displays only those items that conform to your chosen filter.
  4. Yellow warning triangles also indicate the areas of the document containing overset text.

NOTE:

The 'Structure' panel may display some of the overset text, even though that text is not visible in the document preview.

NOTE:

It is possible for an "empty" text frame to contain overset text. This is because all InDesign text frames contain an invisible 'Story' character by default. For that reason, if a frame does not contain text, it should not be of a type 'Text'.

'Image Path' Filter

You can filter by the filename and path of an image. This refers to the filename/path of the image in the one2edit™ asset space.

  1. Choose 'Image Path' from the filter menu and type a full or partial path and/or filename into the field.
  2. Click the 'Apply' button to apply your chosen filter.
  3. The 'Structure' window now only displays the items that conform to your chosen filter. In our example above, we are filtering in all images that have "iStock" in the filename or path.
  4. In the document preview, only those items present in the structure are now 'active'.

NOTE:

Regular expressions can be used to match patterns.
