Export / Import an XML Translation Job - Excel XML

It is possible to either translate your documents directly in one2edit™, or to export the document for translation "offline" in a third-party translation system.

This lesson explains how to export and import a translation job via Excel.

NOTE:
The 'Export' action may not be available for you, depending on your user privileges and the type of job to which you have been assigned. Please speak with your one2edit™ administrator if you have any questions.

Step 1: Click 'Export'

Select your 'Jobs' tab and click the 'Export' button for the job you wish to export.

Clicking 'Export' opens the 'Export Job' window.

You need to select the export format for your job from the following list:

  • one2edit Translation
  • one2edit Translation (Absolute Tagging)
  • Excel
  • XLIFF

For translation in Excel, please select the 'Excel' format from this list.

This will generate an XML file in a format that can be opened by Excel (or other spreadsheet programs such as OpenOffice, etc.).

If the document has already been translated into different languages, you can choose, which language you want to use for your own translation.

For example: You have to translate a document into German. So far, the original English document has been translated into French and Spanish. You can now choose between English, French and Spanish as the source language for your German translation workflow. This option only exists if the other translations have been completed and fully approved.

Step 4: Download Excel file

Clicking 'Export' will generate the exported Excel XML file.

1. Wait for the file to be generated
The activity bar will be displayed while the file is being generated.

2. Click 'Start Download'
Once the file has been generated, the activity bar will disappear, and the 'Export' button will become a 'Start Download' button. You should then save the .xls file to a folder on your computer.

NOTE:
The default filename will be the ID of the Job from which the file is exported. This is for reference only and can be changed, if desired. However, the file-extension of .xls should be maintained.

Step 5: Translate 'target' text in Excel file

Open the downloaded .xls file in your favourite spreadsheet program (for our screenshots, we have used the OS X version of MS Excel).

  1. System Data: The gray cells in the spreadsheet contain document-level data that allow one2edit™ to put the translated text into the correct parts of the document. These cells are write-protected and should not be changed.
  2. Source Text: The blue cells contain the original source text in the language that you selected at export. They allow the translator to have constant visibility of the source text. These cells are write-protected and should not be changed.
  3. Target Text: The white cells contain the original source text in the language that you selected at export. These cells should be updated to contain the translations of the source text in the target language. These cells are not write-protected. Some of these cells may already contain translated text, if a pre-translation has been performed on the document.
  4. Tags/Markers: Green text is used to highlight any paragraph characters ("<p-break>") in the text. These should not be deleted as they may affect the layout of the document. Special InDesign characters (e.g. unbreaking spaces, etc.) or objects (e.g. anchors, etc.) will be displayed as a red hexadecimal value, or as an 'obj'. These should not be deleted as doing so will corrupt the document post-import. If such tags occur in the middle of a text segment, please work around them.
  5. Spread Selection: There is a separate worksheet for each spread of the InDesign® document that is in the translation job.

Step 6: Save as Excel XML

You need to ensure that you save your changes correctly.

To do this, always save your work by clicking the 'Save' button (i.e. the diskette), clicking 'File > Save' in the menus, or pressing 'Ctrl-S' (or 'Cmd-S', depending on your operating system) on your keyboard.

When you do so, you will get a warning.

This is because the file is an Excel XML file, and not an XLS or XLSX file.

When this warning is displayed, click 'Continue', as shown above.

It is very important not to change the format of the file, as only a file of this format can be imported to one2edit™.

NOTE:
If you use 'File > Save As...' to save a copy, be sure to select the 'XML' format from the 'Format' drop-down menu. You will see the above warning when using that method too.

Step 7: Import the translated job content

Once you have finished your translation, click the 'Import' button beside the job.

Clicking the 'Import' button opens the 'Import Job' window.

Here you need to select the status that will be given to all translated (i.e. changed) segments in your file.

  • Needs Translation: The status of all translated segments in the imported Excel XML file will remain as 'New' (i.e. Yellow).
  • Translated: The status of all translated segments in the imported Excel XML file will be set to 'Done' (i.e. Green). The translated segments will, however, remain editable in the translation step of the workflow, and will not be sent for review at this time.
  • Translation Finished: All translated segments will be automatically moved to the next step in the workflow (i.e. the first Review step) if one exists.

NOTE:
You can not assign a specific translation status to individual segments. The option chosen here will be applied to all translated segments that are imported.

Step 9: Click 'Import' and import the translated Excel XML file

Once you have chosen the status for all imported translations, click the 'Import' button.

This will allow you to choose the translated Excel XML file from your computer.

Once you have chosen the file to import, a 'Job Import Result' window will open. This window displays statistics related to the job you have just imported.

  • Translations found: This is the total number of segments in the source text, i.e., the total number of translations that exist in the Excel XML file.
  • Translations imported: This is the number of translated (i.e. changed) text segments in the imported Excel XML file. Remember, any change to the text will be counted as a translation.
  • Translations skipped: This is the number of text segments that were not translated/changed.
  • Erroneous translation: If any data in the gray or blue sections (i.e. the 'locked' sections) of the Excel XML file were changed, it would lead to erroneous translations. You could then re-export the Excel XML file and see what parts are still untranslated, or check inside the document using the one2edit™ editor.
  • Notes: This window displays each segment and the action that occurred for that segment. Any import errors (i.e. erroneous translations) will also be displayed here.
  • Warnings: Any errors or warnings that occur during the import process will be shown here.

Click the 'Close' button once the import has finished.

NOTE:
If any 'Erroneous translations' or warning messages are shown, please contact your one2edit™ administrator.

Step 11: Your 'Progress' bar may change

If you have chosen to mark your items as 'Translated' or 'Translation Finished', the progress bar of your job will be updated to show this.

The color shown will either be light green (for 'Translated' items) or dark green (for 'Translation Finished' items).

NOTE: Job cannot be edited in one2edit™ while XML file is exported

As soon as you export a translation file from a job, the 'Edit' button on the right changes to 'Import'.

This is because the content of the document can only be changed in one location at a time. Therefore, when the content has been exported, it can only be changed in the exported file.

An 'Error' message will pop up if you try to open an exported job for editing. This error message contains the contact information of the user who exported the job content.

If required, you can unlock a job that has been exported.

Simply click 'Job > Unlock' and then click 'OK' on the pop-up warning message.

NOTE:
If you do unlock a job in this manner, you will no longer be able to import a translation file. You will need to re-export another translation file and then perform the "offline" translations again.

NOTE:
Depending on your user rights, this option might not be available to you. If this is the case, contact your admin.
