Manually adding Content to Content Groups

Select the 'Unassigned Items' tab

Select the 'Unassigned Items' tab

Click on the 'Unassigned Items' tab at the top of the screen.

This will filter out all those items that have already been assigned to a content group.

Open the 'Structure' panel

Click on the 'Structure' button on the left of the screen to open the 'Structure' panel.

This panel displays the structure of the document and content in a tree.

The structure of the document is divided up into hierarchical sections - spreads at the top, and content items at the bottom. In between, you will find other InDesign structure items such as frames, tables, cells, groups, etc.

The text in a text frames may be further divided into individual text segments. This segmentation breaks text into 'Translation Units' for translation using a Translation Memory (TM).

NOTE:
At this point in the process, all content items will be displayed in the document structure because we have not yet assigned any items to a content group (i.e. all content items are 'unassigned').

To add the content of an entire text frame to a content group, simply drag the frame from the structure panel to the appropriate tab as shown.

This same 'drag and drop' method can be used on any items shown in the document structure: individual text segments, images, tables, or even entire spreads.

NOTE:
Dragging items to the 'Unassigned Items' tab will remove those items from any content group.

NOTE:
You can filter the 'Structure' panel to only show specific content items (e.g. all text items). Please see the lesson on filtering the document structure for more information.

A warning will appear if you drag frames (or items that contain frames - e.g. spreads, etc.) into a content group.

The warning reminds you that it is only the content from the selected frames that will be moved to the content group, not the frame itself.

  1. Click 'OK' to continue working.
  2. Check the 'do not show again for this session' box if you do not wish to see this warning message again during this session.

NOTE:
Content Rules cannot be applied to frames, only to the content of those frames (i.e. text segments or images). If you wish to permit frames to be editable in your job, please see the lessons about 'Frame Rules'.

Check the content assigned to the Content Group

Clicking on the Content Group tab at the top of the window will display only the content that has been assigned to that Content Group.

Furthermore, because this content has now been assigned to a Content Group, it is no longer shown when the 'Unassigned Items' tab is selected.

NOTE:
The 'All Items' tab will always contain the entire content of the document.

When you select or mouseover content, it will be highlighted with the color selected for the Content Group.

If the content is not in a Content Group, it will be highlighted in the 'default' color for your Workspace.

NOTE:
When you have a Content Group tab selected, the only 'active' content is the content which has been assigned to that content group. All content not in the selected Content Group will be 'disabled' (i.e. it will not highlight on mouseover, and nothing will happen if it is clicked). You must switch back to 'Unassigned Items' or 'All Items' if you wish to select those items.
