Master Document Editor - Text Editor

This section gives an overview of the options when editing text in the 'Master Document Editor'.

Important:
Please note that this section only describes the menu options at a high-level. For more in-depth explanations, please refer to the appropriate parts of the manual.

'Master Document Editor'

When a text segment is selected, additional tools become available.

  1. 'Text Editor' window
  2. 'Text Segment' panels

'Text Editor' window - 'Edit Mode'

When the 'Text Editor' window is in 'Edit Mode', these are the available editing tools:

  1. 'Zoom Slider': Changes the text editor display size. This slider has no effect on the size of the document font.
  2. 'Edit': The 'Edit' button selects edit mode (as opposed to segmentation mode).
  3. 'Split': The 'Split' button selects segmentation mode (as opposed to edit mode).
  4. 'Pipette': The 'Pipette' button allows you to copy and apply text styling attributes.
  5. 'Undo': This button will undo changes made to this text segment since the last save.
  6. 'Redo': This button will restore changes that have been removed by the 'Undo' command.
  7. 'Previous Item': Moves the text editor focus to the previous text element in the document structure.
  8. 'Next Item': Moves the text editor focus to the next element in the document structure.
  9. 'Apply': Renders text edits in the document preview.

When the 'Text Editor' window is set to 'Segmentation Mode', these are the available editing tools:

  1. 'Zoom Slider': Changes the text editor display size. This slider has no effect on the size of the document font.
  2. 'Edit': The 'Edit' button selects edit mode (as opposed to segmentation mode).
  3. 'Split': The 'Split' button selects segmentation mode (as opposed to edit mode).
  4. 'Segment': Applies predefined segmentation rules to the text.
  5. 'Add': Manually creates a new segment element from the highlighted text.
  6. 'Apply': Applies segmentation to the document structure.

Each of these 'Text Segment' panels will be described below.

  1. 'Segment Information'
  2. 'Reset Versions'
  3. 'Text Formats'
  4. 'Content Rules (Policies)'
  5. 'Glyphs'

(1) 'Segment Information'

  1. 'Info':
    • ID: The unique ID of the selected text segment
    • Revision: The current revision number of this text segment
    • Date: Date of the most recent change
    • Status: Shows if the text has been changed or not.
    • Name: In this field, you can assign a name to this text segment. This may make it easier to locate segments via API calls.
    • Show: Choose when this text segment (or delimiter) will be displayed, depending on the state of the surrounding segments.
  2. 'Edit': Clicking 'Edit' opens the 'Text Editor' window.
  3. 'Revisions': This table displays the revision history for the selected text segment. This can help to identify who made what changes to a text segment and when those changes were made. Double-clicking on a revision will open the 'Revision View' window.
  4. 'Compare Revisions': Clicking on this icon opens the 'Compare Revisions' window. There are two different view modes: 'merge' and 'difference'. A direct comparison between any two revisions is possible.

This panel controls how changes made to this segment in the master document will be applied to the version documents.

'Reset Version Segment'
The choices for applying changes made to the segment are:

  1. to use the previously defined settings (via 'File > Default Reset Settings').
  2. that any changes will be marked as 'Needs Edit/Translation', 'Needs Adaptation' or 'Needs Review'.
  3. that the new text should be applied to the version documents. There is an option to do this only if those segments have not already been changed in the version document.
  4. that any text changes within the current master document will be applied to version documents both still 'in progress' and 100% complete.

'Version Segments':
This table displays the current status of the selected segment in the version documents.

NOTE:
If none of the options above are chosen, the actions set under 'File > Default Reset Settings' will occur.

There are a number of text formatting options available for use in the 'Text Editor':

  • 'Fitting'
  • 'Character'
  • 'Paragraph'
  • 'Character Styles'
  • 'Paragraph Styles'

'Text Formats - Fitting'

  1. 'Sliders': You can adjust the formatting values using these sliders. Slider limits are defined in the 'Content Rules'.
  2. 'Font Size': Adjust the character size.
  3. 'Leading': Adjust the space between lines of text.
  4. 'Tracking': Tracking adjusts the character spacing in the selected text. You can change it to enhance readability, to fit more text in a column, or for special effects.
  5. 'Horizontal Scale': Adjust the width of individual characters.
  6. 'Vertical Scale': Adjust the height of individual characters.
  7. 'Baseline Shift': Raise or lower a character relative to the baseline.
  8. 'Reset' (to original value): If you adjust text formats, you can reset them to the original value using these buttons.

  1. 'Font Name' and 'Font Style': When a text segment is selected, the font name (top line) and typeface (lower line) will be displayed here. The font and typeface cannot be changed here and are for information purposes only.
  2. 'Character Attributes': This line of character attributes will be described below
  3. 'Character Style Options': This section of character style options will be described below.
  4. 'Hyphenation Dictionary': Select a hyphenation dictionary according to the language of your text segment.

  1. 'All Caps': The selected characters will be capitalized.
  2. 'Small Caps': The selected lower-case characters will become smaller, capitalized versions.
  3. 'Superscript': The selected characters will appear smaller and above the baseline.
  4. 'Subscript': The selected characters will appear smaller, and be located at or below the baseline.
  5. 'Underline': The selected characters will be underlined.
  6. 'Strikethrough': The selected characters will be crossed out.

  1. 'Font Size': Adjust the character size.
  2. 'Leading': Adjust the space between lines of text.
  3. 'Tracking': Tracking adjusts the character spacing in the selected text. You can change it to enhance readability, to fit more text in a column, or for special effects.
  4. 'Horizontal Scale': Adjust the width of individual characters.
  5. 'Vertical Scale': Adjust the height of individual characters.
  6. 'Baseline Shift': Raise or lower a character relative to the baseline.
  7. 'Kerning': Adjust the space between certain characters in a line of text, using their natural shape and slope to improve their appearance and create a smooth flow of movement for the eye.
  8. 'Skew': Apply horizontal or vertical slant to a character.

'Text Formats - Paragraph'

  1. 'Paragraph alignment': This line of paragraph alignment options will be described below.
  2. 'Paragraph Indentation' and 'Spacing': This section of paragraph indentation and spacing options will be described below.
  3. 'Hyphenation' on/off: Check this box if hyphenation should be applied to the text segment.
  4. 'Default Grid Align': Columns of text won't be aligned to the baseline grid and their location within the page can vary.
  5. 'Baseline Grid Align': Columns of text will be aligned to the baseline grid so that consistency in the location of text elements on a page is ensured.
  6. 'Line Breaks' (drop down menu):
    • 'Adobe Paragraph Composer': This composer calculates line breaks using the full paragraph.
    • 'Adobe Single-line Composer': This composer is the traditional method for calculating line breaks line by line.

'Align' vs. 'Justify'

A text segment can either fill out a whole text frame and be aligned to both sides of a the frame (justify) or just be aligned to one side of the text frame (align)

  1. 'Align Left': All text segments will be left-aligned.
  2. 'Align Center': All text segments will be aligned along the center of the text frame.
  3. 'Align Right': All text segments will be right-aligned.
  4. 'Justify Left': All text segments will be aligned to both sides of a text frame except for the last line, which will be left-aligned.
  5. 'Justify Center': All text segments will be aligned to both sides of a text frame except for the last line, which will be centered.
  6. 'Justify Right': All text segments will be aligned to both sides of a text frame except for the last line, which will be right-aligned.
  7. 'Justify Full': All text segments, including the last line, will be aligned to both sides of a text frame.
  8. 'Align Towards Spine': All text segments on a left-hand page will be right-aligned. Those on a right-hand page will be left-aligned.
  9. 'Align Away From Spine': All text segments on a left-hand page will be left-aligned. Those on a right-hand page will be right-aligned.

'Paragraph Indentation' and 'Spacing'

An 'Indent' is a blank space between a margin and the beginning of a line of text.

  1. 'Left Indent': Tab size for a left indent used throughout the page.
  2. 'Right Indent': Tab size for a right indent used throughout the page.
  3. 'First Line Indent': Tab size for the indent of a line following a hard break.
  4. 'Last Right Indent': Tab size for the indent of a line before a hard break.
  5. 'Space Before': The size of the blank space before a paragraph begins.
  6. 'Space After': The size of the blank space after a paragraph ends.

A 'Drop Cap' is the first letter of a paragraph that is enlarged to 'drop' down two or more lines. It can often be found at the beginning of a novel or chapter.

  1. 'Drop Cap Lines': Define the number of lines by which the character should be dropped. This value includes the line on which the text resides.
  2. 'Drop Cap Characters': Define the number of characters that will be dropped.

The 'Character Styles' panel lists the character styles in the document. The character style of the selected text is highlighted in the list.

The 'Paragraph Styles' panel lists the paragraph styles in the document. The paragraph style of the selected text is highlighted on the list.

'Content Rules (Policies)'

Using the 'Content Rules' window, you can apply 'Content Rules (Policies)' to individual text segments. Multiple content rules can be assigned for both, editors and reviewers.

NOTE:
Any content rules assigned in this panel will be added to those for the content group (logical AND). Therefore, care needs to be taken when creating and assigning content rules.

'Glyphs'

'Glyphs'

The 'Glyphs' palette provides access to special characters that are not always available via the keyboard. The correct display of the document depends on the character's support in the font. The 'Glyphs' panel provides access to all the glyphs (letterforms) in the selected font, as well as the InDesign® special characters, such as symbols, dashes, spaces, and more.
