How to transfer version document changes to a standalone master document

Overview of current situation

This lesson follows on from the lesson: "Convert a translated version document into a master document". The screenshot above describes the current situation.

  1. Project A contains a German master document and an English version document.
  2. The translated English document has been converted into an English master document (Project B) as the source for further translations.
  3. Several version documents have been created from the English master document.

In this lesson, we show how to transfer updates made to the master document in Project A to the documents in Project B via the checkout/check-in/DIFF procedure.

Specifically, you can check out the master document in Project B and then check in the exported version document from Project A.

Make text changes in Project A master document

Text changes are made in the master document of Project A.

Text changes need translation

This will reactivate the translation workflow for the English version document in Project A.

Export version of Project A

  1. The translation in Project A is 100% complete.
  2. Select the version document and click 'Project > Export Document' to open the 'Export Document' window.
  3. Select 'Save to Asset Project' as the 'Target'.
  4. Select 'InDesign Document' as the 'Export' format.
  5. Click 'Export'.

Save exported document in your Asset Browser

The 'Asset Browser' window opens.

  1. Select or create a folder for your exported document.
  2. To avoid confusion, rename your document with a meaningful name.
  3. Click 'Save'.
  4. The document will be located in the chosen folder.

NOTE:
Clicking 'Save' closes the window, so you will not see the final INDD file unless you re-open the Asset Browser.

Check out English master document

  1. Select Project B, the English master document.
  2. Click 'Project > Check Out Document' to open the 'Check-out Document' window.
  3. Click the 'Choose' button to open the 'Asset Browser' window and select the same folder to which you exported the last INDD file.
  4. Click the 'Check Out' button in the 'Check-out Document' window.

NOTE:
Please ensure that you do not overwrite the INDD file that you exported in earlier steps.

Click 'File > Browse Asset Spaces'

We now need to change the name of the Project A file so that it can be checked in for Project B.

The name of the file itself must be changed, because the check-in process does not permit you to choose which file you are checking in.

Rename (or delete) the checked-out Document

Because the name of the checked-in document needs to be identical to the name of the checked-out document, we will need to rename the file exported from Project A to match that of the checked-out file from Project B.

  1. Select the document, that has not yet been updated.
  2. Click the 'Info' button to open the 'Info' window.
  3. Copy the document's original name (highlighted in blue in the screenshot above).
  4. Rename the document so that you can see it is the checked-out document (in this case, we prepend "OLD" to the original filename).

Click the 'Save' button to save your changes.

NOTE:
It is also possible to delete the checked-out document as it is no longer needed. However, before you delete the document, ensure that you have copied out the document's name exactly for the following step.

Rename the Exported Document

  1. Select the Project A file.
  2. Click the 'Info' button to open the 'Info' window.
  3. Paste in the original name of the Project B file, as copied in step 3 above (make sure that the word "OLD" has not been pasted as well).

Click the 'Save' button to save your changes.

Check-In Document

  1. Select the checked-out document.
  2. Click 'Project > Check-In Document'.
  3. Click the 'Check In' button in the 'Check-In Document' window.

NOTE:
If the file cannot be found, please open the Asset Browser and check that the filename matches exactly the filename the 'Asset Path' parameter.

Start DIFF process

The status of the document changes to 'DIFF'.

Double-click on the document to start the diff process.

'Versions' tab

Make sure that all versions to which the changes need to be applied are selected and the correct 'Default Reset Options' are checked.

NOTE:
For more details on each tab and the DIFF process in general, please refer to the corresponding workshop.

'Frames' tab

In the current example, you can see that some frame content has changed, yet the frame itself has not changed. Therefore, there is nothing to do for us in the Frames tab.

NOTE:
If layout changes have been made to the document, you may need to perform some actions at this step. Please refer to the corresponding DIFF workshop for more details.

'Segments' tab

  1. The 'Segments' tab shows that there is one frame containing segments which need to be relinked.
  2. The frame is labelled with a yellow content marker. Double-click on the segment to open a floating 'Segments' window.
  3. Link the new segments to the corresponding old segments.
  4. Click 'Close and Finish'

NOTE:
For more details on working with the 'Segments' tab, please refer to the corresponding workshop.

'Styles' and 'Swatches' tabs

Depending on the changes you have made to the document, you might have to take action in these steps. In the example used no styles or swatches were changed so that we can simply skip forward to the 'Overview' tab.

NOTE:
For more details on how to work with the 'Styles' and 'Swatches' tabs, please refer to the corresponding workshop.

'Overview' tab

The 'Overview' tab shows any changes made in the previous tabs. If it all looks correct, click the 'Apply' button in the top-right. This will apply the changes to the selected version documents.

'Projects' tab

The 'Status' of Project B has changed from 'DIFF' to 'EDIT'.

You have now updated Project B and all of its version documents with the changes made in Project A.
