Assign Content Rules to Content Groups and specific items

This lesson shows you how to assign Content Rules to Content Groups and specific content items.

Add Content Rules to a Content Group

  1. Content Rules: Drag Content Rules to the appropriate fields from the 'Settings > Content Rules (Policies)' window.
  2. 'Edit Content Rules': Rules that are put into the 'Edit Content Rules' area apply to the very first workflow step (the 'Edit' step).
  3. 'Review Content Rules': Rules that are put into the 'Review Content Rules' area apply to ANY AND ALL of the following workflow steps (the 'Review' steps).
  4. Click 'Save': After assigning the appropriate rules to their areas, click 'Save'. Your 'New Content Group' tab will now appear to the right of the 'Unassigned Items' tab. It will be marked, in the corner, with your chosen content group color.

NOTE:
The advantage of applying content rules to a content group is that you do not need to apply these rules to each image or text segment separately. Rules that have been defined for a Content Group are applied to all of the content items within that group.

Add Content Rules to Specific Items

It is sometimes useful to assign further rules to specific content items in a document, in order to improve the subsequent workflow efficiency.

  1. Select Content Item: Select the content item to which you want to assign further rules. After selecting it, the panels on the right hand side will appear.
  2. Open the 'Content Rules (Policies)' Panel: Click the icon to open it.
  3. Drag and Drop Rules: Drag and drop the rules from the 'Settings > Content Rules (Policies)' window into the 'Edit Content Rules' and/or the 'Review Content Rules' fields.

NOTE:
The selected content item must be in a Content Group. It is not possible to assign Content Rules to an item that is not in a Content Group, as items that are not in Content Groups cannot be edited.

NOTE:
Assigning further rules to an item adds these rules (via a logical AND) to any existing Content-Group rules. In other words, the individually-assigned rules do not override those of the Content Group.
