Manually add Content to Content Groups

Only content that has been added to a Content Group may be edited in a Job.

Content can be assigned to a Content Group via drag-and-drop from the preview or Structure Panel. There are a few tools that can make this task easier, the most powerful of which is the filter in the Structure Panel (covered in more detail in its own article).

Filtering and Highlighting Content

  1. Structure-Panel Filter: Rules-based filtering of the document content. This powerful tool is described in more detail in its own lesson.
  2. Unassigned Items: Clicking this Content Group will filter out all content that has already been added to a user-defined Content Group. This is particularly useful in projects with multiple Content Groups.
  3. Show/Highlight Content: Click one of these options to highlight different elements in the document. Elements are highlighted using the color of the Content Group to which they are currently assigned. The buttons are:
    • Highlight Images: Highlight all images in the document using their Content-Group color.
    • Highlight Segments: Highlight all text segments in the document using their Content-Group color.
    • Show Frames: Display an outline for all frames in the document.
    • Show Text Columns: Display an outline for all text columns in the document.
    • Show Tables: Display an outline for tables.
    • Show Groups: Display an outline for groups of elements.

NOTE: Content can only be added to a single Content Group.

Filter the Content

  1. Open the Structure Panel. This panel displays the structure of the document and content in a tree.
  2. Apply relevant filter(s) so that only the content you want in the Job is displayed.
  3. The highlighting tools can help with checking which content is currently filtered in.

NOTE: The structure of the document is divided up into hierarchical sections - spreads at the top, and content items at the bottom. In between, you will find other InDesign structure items such as frames, tables, cells, groups, etc. The text in a text frame may be further divided into individual text segments or Translation Units for translation using a Translation Memory (TM).

Drag Content to the Content Group

To add content to a Content Group, simply drag it from the Structure Panel to the appropriate Content Group tab, as shown. Any items can be dragged from the structure to the Content-Group tabs – individual text segments, images, frames, tables, groups, etc.

In this example, we have selected all spreads in the document and thus dragged all content to the Content Group. We can also see that only 36 text elements are filtered into the structure, so those are the only items being assigned to the Content Group.

NOTE: Dragging items to the Unassigned Items tab will remove those items from any user-defined Content Group. Therefore, an alternative approach could be to drag all the document content into your Content Group, and then filter for the items you do not want, and drag them to the Unassigned Items tab.

Warning when dragging Frames

If you drag frames into a Content Group, a warning message appears. This warning is to remind you that only the content from the frames will be added to the Content Group, not the frames themselves.

This warning also appears if you drag hierarchical items that contain frames, such as spreads, layers, groups, etc. into a Content Group.

  1. Click OK to continue and add the frame content to the Content Group.
  2. If you do not wish to see this warning again during this editing session, check the box in the corner.

NOTE: If you wish for your frames to be editable in a Job, you must define Frame Rules for your project. These are covered elsewhere in this Knowledge Base.

Check your Content Group

  1. Clicking on your Content Group tab at the top of the window will display only the content that has been assigned to that Content Group.
  2. Selecting, highlighting, or mousing-over content will highlight it with the color you selected for your Content Group. The elements in the structure will have a marker of that color.

NOTE: If the content is not in a Content Group, it will have no marker in the structure, and will be highlighted using the default color of your Workspace.

NOTE: Content that has been assigned to a Content Group is no longer displayed in the structure when the Unassigned Items tab is selected. The All Items tab will, however, always display the entire content of the document.
