Settings

If you are a one2edit™ administrator, you will see a settings option in the main navigation menu. This is where you prepare your Client Workspace for day-to-day use (e.g. adding users and user groups; uploading central, reusable items such as fonts; creating and managing Content Rules; etc.)

NOTE: This lesson gives an overview of each option. In-depth lessons for each option are found elsewhere in the Knowledge Base.

Settings

Client

  • Users and Groups: Administer users, user groups, and user-group permissions.
  • Client Workspace Settings: Administer the settings and defaults for this Client Workspace.

Content

  • Language Sets: Create and populate translation memories to use within one2edit™.
  • Dictionaries: Import Hunspell-format dictionaries for the spellchecker.
  • Content Rules: Create and manage rules for controlling how document content is edited by users.
  • Text Rules: Create and manage rules for applying microtypography and styling to specific text matches in your documents (e.g. product names).
  • Segmentation Rules: Import and modify rules for segmenting document text so that it matches the translation units in your translation memory.
  • Note Groups: Create and manage groups that can be used to color code notes added to documents.

InDesign

  • Font Packages: Upload zip archives containing font files to be used by your documents.
  • PDF Presets: Upload PDF presets (.joboptions files) that you have exported from your local copy of Adobe® InDesign®. These are required for exporting PDFs.
  • InDesign Preflight Profiles: Upload preflight profiles (.idpp files) that you have exported from your local copy of Adobe® InDesign®. These are only required if you wish to run preflight checks on your documents.

Users and Groups

This is where you create and manage user groups for your Client Workspace.

  • There is an Administrator user group present by default, and you can make as many other groups as you require.
  • User-group permissions dictate what the user can do outside of the editor (e.g. administer projects, manage fonts, etc.). Editing permissions for all users are controlled via Content Rules.
  • User groups may be structured in a hierarchy. A child-group may only have a subset of the parent-group's permissions.

NOTE: User groups managed via an external service (e.g. LDAP) must still be created and assigned one2edit™ permissions. Externally-managed users may also be assigned to local user groups.

Client Workspace Settings

This is where you administer the settings and defaults for this Client Workspace.

For example, the default names that will be assigned to exported documents, if the in-line spellcheck is enabled by default, the access details for your machine-translation account, etc.

NOTE: When creating default filenames, you must explicitly include the dot before the {file.extension} variable.

NOTE: Some changes may not take effect for a user until that user has logged out and logged back in.

Language Sets

This is where you create and populate translation memories to use within one2edit™.

  • A Language Set is a set of languages you choose, which should be all of your target languages and the source language.
  • Each language set contains its own TM. In most cases, a single language set is sufficient. However, it is possible to create separate language sets dedicated to specific brands or products.
  • Once you have created a language set, you can populate it with translations from TMX files or Excel XML files.

NOTE: There are no default Language Sets included in your Client Workspace.

Dictionaries

This is where you manage the spellcheck dictionaries for your Client Workspace.

  • The default Adobe® InDesign® dictionaries are present by default.
  • There is not a dictionary for every language. InDesign only contains dictionaries for its list of hyphenation languages.
  • Hunspell-format dictionaries for other languages may be imported.

Content Rules (Policies)

This is where you create and manage the Content Rules for Jobs within your Client Workspace.

  • Content Rules dictate what users can or cannot do when editing a document in a job.
  • The rules are set using simple checkboxes – no programming is required.
  • Content Rules can be saved and re-used across all one2edit™ projects within the Client Workspace.

NOTE: There are no default Content Rules included in the Client Workspace. You must create your own.

NOTE: If no Content Rules are set in a project, then users will only be able to edit text. They will, by default, not be permitted to: change styling; replace images; insert paragraph characters; etc. Many clients, therefore, do not require Content Rules in their workflows.

Text Rules

This is where you create and manage sets of Text Rules for your Client Workspace.

  • Text Rules can auto-apply styling, insert InDesign-specific characters (e.g. non-breaking spaces), insert characters (e.g. ™ or ®), etc.
  • Text Rules operate by matching text to a given pattern, which may be plain text or regular expressions.
  • Sets of Text Rules can be added to projects, Content Groups or individual content items through the Master Document Editor.

NOTE: There are no default Text Rules defined in your workspace, so you must create any that you require.

Segmentation Rules

This is where you can manage the Segmentation Rules for your one2edit™ projects.

  • Segmentation Rules divide up the text of your document into translation units, which are chunks of text that can be matched against translations stored in your translation memory (TM) database (e.g. paragraphs, sentences...)
  • You can import sets of segmentation rules using the standard SRX format.
  • Text in your documents should be segmented in the same way as the translation units stored in your TM database.

NOTE: When an INDD file is linked to a one2edit™ project, the text will be segmented into paragraphs by default.

NOTE: The default set of segmentation rules included with the workspace will break text into sentence-length segments.

Note Groups

Users can be permitted to add and read notes in a job. Note Groups can be created and managed here to help users focus on relevant notes.

  • Note Groups do not control the visibility of notes. All notes within a document are visible to all users who have the rights to read notes.
  • The color chosen for the note group will also be the color of the note in an exported low-res PDF.

NOTE: There are no default note groups in a one2editworkspace. You must create your own groups to address your own workflow needs.

Font Packages

This is where you can upload and manage fonts for your Client Workspace.

  • A Font Package is a zip file containing font files.
  • Any fonts uploaded here will be usable by all projects in your Client Workspace
  • Please ensure that the correct licensing has been acquired before uploading any fonts.

NOTE: All required fonts will need to be uploaded by the user. Adobe® does not permit the use of online Adobe Fonts with Adobe® InDesign® Server.

NOTE: macOS system fonts are included already by default.

PDF Presets

In order to export a PDF from Adobe® InDesign®, you require a PDF Preset. These presets can be exported from InDesign desktop as .joboptions files, and uploaded to your one2edit™ Client Workspace here.

  • You must upload at least one PDF Preset in order to export high-res PDFs from one2edit™.
  • There are no default presets included, as there are many different requirements. You must upload your own that will suit your printer's requirements.
  • If non-standard color profiles are required, please speak to your local one2edit™ administrator or contact one2edit™ support.

NOTE: There is a low-res PDF Export Preset included, which is used for exporting low-res preview PDFs only (e.g. via the PDF button in the Jobs list).

InDesign Preflight Profiles

Here is where you can upload Preflight Profiles that you have exported from Adobe® InDesign® as an .idpp file. A Preflight Profile is a series of checks you can define to ensure that your document does not contain overset text, style overrides, missing fonts, etc.

  • Preflight Profiles are optional, and are not required for exporting PDFs.
  • It is possible, however, to set a Preflight Profile for a project so that it is checked every time a PDF is exported, and blocks the export if the check fails.
  • There are no default Preflight Profiles included, because everyone has different requirements for their documents.
