How to export files from a one2edit™ Project

To export a PDF of a document, or even a full InDesign package including fonts and links, use the Export Document command.

NOTE: Exporting a file from one2edit™ is a one-way process, so an exported file cannot be re-imported to the same project. If you do wish to update the master document of a project using InDesign, and then use those updates within the one2edit™ project, you must use the Check Out functionality on the master document. Version documents cannot be checked out and updated – they instead inherit changes made to the master document.

Export Document

Choose Export Document from the document's option menu.

This will open the Export Document dialog.

  1. Choose the export Target (i.e. to where you want to export the document). The options are:
    • Direct Download: Export the file to download to your local drive.
    • Save to Asset Project: Export the file directly to a one2edit™ Asset Project.
    • Generate Link: Generate an email containing a download link for the exported file.
  2. Choose the type of file to export. The options are:
    • Adobe PDF (*.pdf)
    • Interactive PDF (*.pdf) – you must also choose a PDF Preset for this option
    • InDesign Document (*.indd)
    • InDesign Markup (*.idml)
    • Package (*.zip)
    • Translation Memory eXchange (*.tmx)
  3. Click the Export button to execute the export process.

NOTE: The Export button will be inactive if you have not chosen all required settings. If, for example, the PDF Preset is not chosen, then the button will be inactive.

NOTE: Different export types have different options that can/must be set.

Target > Direct Download

The Direct Download option allows you to directly download an exported file to your local computer.

  1. Choose Direct Download as the Target, and click Export. This will close the Export Document dialog and generate the exported file.
  1. You can open Notifications and see the spinner showing that the export is in progress.
  1. Once the export has completed, the notification badge increments by one.
  2. Click Download in the notification option menu for this exported file to download it.

Target > Save to Asset Project

The Save to Asset Project option allows you to export a file to an Asset Project on your one2edit™ system.

  1. Choose Save to Asset Project as the Target, and click Export. This will open the Asset Browser.
  1. Choose an export folder and filename.
  1. Clicking Save in the Asset Browser will close the dialogs and start the export process. The spinner in the Notifications shows that the export is in progress.
  1. Once the export has completed, the notification badge increments by one.
  2. Click Reveal Asset in the notification option menu to reveal the asset in the Asset Browser.

Export > Adobe PDF (*.pdf)

Export a 
PDF
 document of 
the selected 
InDesign 
file. The content of the PDF will reflect the content of the document at this point in its workflow.

  1. PDF Preset: You must select a PDF Preset in order to enable the Export button and export a PDF. You must upload your own PDF Presets via Settings > PDF Presets.
  2. Page Range and Order: It is possible to type in your own page ranges, or you can choose from the presets available:
    • All: The document will be exported with all spreads. The PDF spreads will be in the same order as the InDesign-document spreads.
    • All, First Page as Last Page: For printing reasons, documents are often designed in two-page spreads, meaning that the digital-document's first page is designed to be the printed-document's last page. Selecting this option will export a PDF containing all of the spreads in the correct page order for a printer.

NOTE: PDF presets are used by Adobe® InDesign® to create PDF files from INDD files. These presets can be exported from InDesign Desktop for use in one2edit. PDF preset files (with a .joboption file extension) can be uploaded to your one2edit workspace via Settings > PDF Presets.

Export > Interactive PDF (*.pdf)

Exporting an Interactive PDF does not require you to choose a PDF Preset.

The Interactive PDF Settings button (i.e. the gearwheel) will open the Export Interactive PDF dialog, where you can make changes to the settings for your exported document. The settings are the same as in Adobe InDesign Desktop (image compression, security, etc.)

Export > InDesign Document (*.indd)

Export the current document in an Adobe® 
InDesign® binary format (INDD).


This is the native format for a file in one2edit™,  and no further setup is required for the export.

Export > InDesign Markup (*.idml)

Export the current document in an 
InDesign Markup Language (IDML) format.


No further setup is required for the export.

Export > Package (*.zip)

Export a zip archive file of the InDesign® package.

Select if the generated InDesign 
package should include the Links, Fonts, the Report file, a PDF 
of the InDesign file, and/or an IDML version of the INDD file.

NOTE: If Include PDF is selected, a PDF Preset must be chosen before the Export button will be enabled.

Export > Translation Memory eXchange (*.tmx)

current state of the translations in the Job. This TMX file will be built from the text segments in the master document (source-language text segments) and the current text segments in the version document (target-language text segments).

  1. Content Group: Select the content group(s) to be exported in the TMX file by checking the appropriate box(es) in the Content Group list.
  2. Include Text Attributes: Check this box to include the local styling tags in the TMX translation units.
  3. Include Global Text Attributes: Check this box to include the paragraph-level styling tags in the TMX translation units.
  4. Element Status: Choose which segments will be a part of the TMX file translation units.
    • All text items (except those with "Needs Translation" status): Include all text segments that are not marked as Needs Translation. This may include text items that have not yet been reviewed in the workflow.
    • All finished text items (those with "Finished" status): Include all text segments that have a Finished status. This only includes text segments that have reached the end of the review/approval workflow (i.e. marked as Accepted in the final workflow step).

NOTE: Exporting a TMX file is only possible if at least one Content Group of type Translation exists in the Project.

NOTE: In order to export a TMX file, the document must have a running translation workflow. Furthermore, both the source and the target languages are required to generate a TMX file, meaning it is not possible to export a TMX from a master document alone.

Export preflight failed > Preflight violations found

A simple preflight check will be done when a document is exported.

If this preflight returns any errors, this warning notification will appear.

  1. Show Preflight: Click this option to open the Project Details dialog on the Preflight tab. This will give you details about the failed preflight check so that you can correct them in your document before exporting.
  2. Export without Preflight: Click this option if you wish to perform the export without correcting the preflight issues.

NOTE: If you export a PDF when links are missing, InDesign Server will generate a PDF containing low-res images (or missing images if no low-res proxy is available). If you export a PDF when fonts are missing, InDesign Server will substitute a different font for the missing one, meaning that the size and flow of text in your document may be incorrect (e.g. overset text, tables moved into overset, etc.)
