Assigning a Workflow to a Version Document

A Workflow dictates which users can work on which content and in what order.

We must add a Workflow to our version document in order for the relevant users to see the translation job in their Jobs list.

Open the Workflow View

Version documents cannot be edited directly outside of a running Job. To create a Job with a version document, we must first assign a Workflow. This can be done via the Workflow view.

There are two ways to open the Workflow view for a version document:

  1. Double-click on the version document
  2. Select Open Workflow from the document's option menu

Assign an Empty Workflow

There are two ways to assign an empty workflow to this document:

  1. Click Assign empty workflow in the Document option menu
  2. Click the Steps button

NOTE: The empty workflow will contain a workflow track for every Content Group that exists in the master document. Each workflow track will have the name of its Content Group at the top.

NOTE: If you have prepared a Workflow Template, you can use it here by clicking Assign from Template.

The empty workflow will appear.

NOTE: Because our Content Group is of type Translation, our workflow track has a Language field at the top for the translation target language. If the Content Group was of type Edit, then the Language field would not appear.

Assign a Language to the Workflow

  1. Double-click the Language field (where it says Drop language here) in the workflow to open the Language Sets dialog.
  2. Select your Language Set.
  3. Drag the appropriate target language to the Language field.

NOTE: If no target language is assigned to the workflow, the translation Job cannot be started.

NOTE: The target language assigned to the workflow must be different to the source language defined in the Content Group. If both languages are the same, you will receive an error message to this effect.

Assign User(s) to Workflow Steps

Any user from the Client Workspace can be added to a Workflow Step via the Users and Groups dialog.

To open the Users and Groups dialog:

  1. Double-click on any user field (Drop users here) in the workflow.
  2. Click Add User in the user-field option menu.
  3. There are also two variable user options available in the user-field option menu:
    • Document Owner: This variable user will be replaced by the user who created the document when the Workflow is started.
    • Workflow Starter: This variable user will be replaced by the user who starts the Workflow.
  1. Drag-and-drop the required user(s) to the Workflow Step(s).

NOTE: If no user is assigned to a step, then that step is skipped. If no user is assigned to any step in the Workflow, no Job is created for this Workflow.

NOTE: It is possible to assign an entire user group to a Workflow Step. In such a case, every user in that group will see the Job in their list. However, only one of the group's users must complete the Job – it does not mean that everyone in the group must do the Job.

Assign Action(s) to Workflow Steps

Actions can be used for automation in a workflow (e.g. pre-translate document content, send an email notification when the Job starts, etc.).

  1. Double-click on any action field (Drop actions here) in the workflow, or click Actions in the Workflow option menu, to open the Workflow Actions dialog.
  2. Drag an action from the Workflow Actions dialog to the appropriate Drop actions here field in the Workflow Step.

NOTE: Double-click any assigned action to configure the action. For example, if you have assigned an Email Notification action to a Workflow Step, you will need to set up the message, recipients, etc.

NOTE: The Commit Translations action should only ever be assigned to the Completion field at the bottom of the Workflow. This action will then only be executed when the entire workflow is 100% complete (i.e. after all segments have been translated and reviewed). This will ensure that no untranslated content gets committed to your TM.

Start the Workflow

If you have assigned a target language and users to the workflow, you may start the workflow to create the Job.

To start a workflow, click on the Toggle workflow button, as shown.

When this button is clicked, the Play symbol will change to a Pause symbol. Use this to pause the workflow if you need to make any changes.

Close the Workflow View

Click the X at the top of the window to close the workflow view and exit back to the Projects area.

NOTE: All changes are saved dynamically as you make them, so there is no need to click a Save button.
