Adding Content to a Content Group

This lesson will go through the process of adding content to a content group.

Open the Structure Panel

  1. Open the Structure Panel by clicking on the icon shown. This displays the structure of the document.
  2. (Optional) Selecting the Unassigned Items tab at the top will filter out any empty layers and spreads from the Structure, and only display the parts of the Structure that contain content. It will also filter out any content items that have already been added to a Content Group.

Document Structure

The structure of an InDesign document is hierarchical - Spreads at the top, then Layers, then Frames, and then Frame Content.

Groups of frames show as a Group in the structure. Tables are added to Text Frames in InDesign, and will thus appear beneath a frame in the hierarchy, complete with individual cells and cell content.

Text within a Text Frame can be divided into Text Segments. By default, text segmentation is done at the paragraph level, but Segmentation Rules can be applied to break paragraphs into individual sentences, if that is what your Translation Memory requires.

Assign Content to the Content Group

There are a few ways to assign document content to a Content Group.

  1. Assign content to a Content Group via its option menu. Simply choose the target Content Group from the list. Selecting and assigning multiple items at once is possible.
  2. Click and drag content directly from the Structure to the Content-Group tab. Selecting and dragging multiple items at once is possible.
  3. Click and drag content directly from the Document Preview. Selecting and dragging multiple items at once is possible.

NOTE: Assign content to the Unassigned Items group if you wish to remove it from all Content Groups (i.e. ensure that it cannot be edited during a Job).

High-level containers of content (e.g. Frames, Groups, Spreads...) can be added to a Content Group, which will add all content from that container to the Content Group at once.

However, the containers themselves cannot be added to the Content Group, so this warning will pop up.

Click OK to add the container's content to the Content Group. You may also wish to check the Do not show... box if you are going to add content via more containers.

View Content Assigned to Content Group

Selecting the tab for a Content Group will filter the active content within the editor.

Content not assigned to the selected Content Group will not be shown in the Structure, and will also not be clickable in the document preview.

This allows you to easily check that only the items to be edited are assigned to the Content Group, and thus editable in any Job.

NOTE: If you cannot select some content, please ensure that you have not selected the Unassigned Items group or any other Content Group. Click the All Items tab to be certain.

NOTE: Any content assigned to a Content Group will no longer be available via the Unassigned Items group.

Close the Document

  1. When you are finished, click the Close/Exit button in the toolbar.
  2. If you have unsaved changes, you will be prompted to save them at this point.
