Marking Job Items as Completed

Created on 16th May 2023 at 14:23 by Jamie O'Connell

Marking a Job Item as Accepted/Done indicates to the system that you have completed your work on the item. When you close a Job with items marked as Accepted/Done, one2edit™ will ask if you wish to commit those items to the next Workflow step (assuming there is a next step in the Workflow). This will advance the Progress Bar for the Job.

NOTE: If you commit items to the next step, the items will no longer be accessible/editable at your step. So only mark items as Accepted/Done if you are actually finished editing them.

Mark Segment as Done via the Segment-Editor Menu

When you have finished editing text, you can click on the Option Menu at the bottom-right of the Segment Editor and choose Done.

This will mark the item as being done/complete for the current Job, and allow you to commit it to the next step in the Workflow.

Mark Item as Done via the Status-Marker Menu

Clicking the Status Marker next to a Job item will pop out a menu. Choose Done to mark the item as done/complete for the current Job.

NOTE: This method can be used for both Segments and Graphics in a Job.

Change Status for all Items on a Spread via Thumbnail Dock

If you wish to change the status of all items on a spread, you can do so via the Thumbnail Dock at the bottom of the window.

Click the appropriate Status Marker for the Spread and choose an alternative status for all of those items.

Clicking a yellow Status Marker gives the option to mark all items on the Spread as green (i.e. Done), whereas clicking on a green Status Marker gives the option to mark all items on the spread as yellow (i.e. New).

NOTE: In a Review Job, there will also be the option to mark items as Rejected (red).

Change Status for multiple Items via Structure Panel

You can also use the Structure Panel to change the status of all selected Job items at once and choosing a Status value from the multi-select Option Menu.

It is also possible to select Frames, Layers, and Spreads, meaning that you can set the Status for all Items in the Job at once via the Structure Panel (i.e. by selecting all Spreads).

Save Changes and/or Close Job

  1. At any point during the editing process, you can save your changes by clicking the Save button in the Toolbar.
  2. If you have finished your work, or are leaving your computer for a break, click the Close Document button to close the Job.

NOTE: If you have unsaved changes when you click Close Document, you will be prompted to save your changes.

NOTE: You must always close your Job using the Close Document button. Closing the browser tab without first closing the Job can cause issues for other users.

Commit items to next step

When exiting the Job, you will be asked if you wish to commit any green/done items to the next Workflow Step.

Keep in mind that any items committed to the next Workflow Step (i.e. sending the Items for Review) are no longer accessible at the current Workflow Step, which means that you will be unable to edit them any more.

NOTE: Please speak to your one2edit™ administrator if you require Items to be pushed back from a different Workflow Step.

NOTE: It is possible to set up a Workflow where all active Job Items must be marked as done before any can be committed to the next Workflow Step.

Progress Bar

When you commit items to the next Workflow Step, the Progress Bar for your Job will update.

In this case, 14.9% of the progress bar has turned dark green.

NOTE: If the items marked as done had not been committed to the next Workflow Step, the Progress-Bar colour would be light green to indicate that the items are completed, but not yet committed.
