Option Menus: Workflow Editor

There are multiple Option Menus within the Workflow Editor area. Many only appear once you have added something to a Workflow track, such as a target language, users, etc.

NOTE: This section gives a high-level description. For more in-depth explanations, please refer to the appropriate parts of the Knowledge Base.

Option Menu: Content Group

Click the kebab menu (3 dots) next to the Content Group name to access the Option Menu for that Content Group.

  • Add New Group: Adds a new Content Group to this Workflow.
  • Delete Group: Deletes the Content Group from the Workflow.

NOTE: It is not possible to delete all Content Groups from a Workflow.

Option Menu: Language

This Option Menu only appears once you have added a target Language to the Content Group.

Click the kebab menu (3 dots) beside the Language to access its Option Menu.

  • Replace: Opens the Language Sets dialog, allowing you to choose a new Language for this Content Group.
  • Delete: Removes the target Language from this Content Group (e.g. if it should be of type Edit instead of type Translation).

Option Menu: Workflow Step - Edit/Translation Step

Click the kebab menu (3 dots) beside Edit Step to access its Option Menu.

  • Panel Settings: Override the default Panels visible for this Job step.
  • Frame Rules: Override the Frame Rules by switching them off for this Job step, or switching on all frame-editing options for this Job step.
  • Text Rules: Override the Text Rules by enforcing them all for this Job step, or switching them all to Suggested for this Job step.
  • No editing possible (notes only): Switches off the content-editing capabilities for this Job step. Users can only add Notes (if they have the User-Group privileges to do so) to content elements, and set their Status.
  • "Commit to next step" only possible when all items are done: Set the Job step to require that all Job elements are marked as Done before any can be committed for review.

There are two other options that will appear in this menu when the Workflow is assigned to a document and running a Job:

  • Export Job: Export the translations from this Content Group (only shown for running Translation Jobs).
  • Delegate Job: Delegate this Job step to another user (only shown for running Jobs).

Option Menu: Workflow Step - Review Step

Click the kebab menu (3 dots) beside the Review Step name to access its Option Menu.

The two extra options here are:

  • Add New Step: Add a new Review Step after this one.
  • Delete: Delete the Review Step.

NOTE: It is not possible to delete all of the Review Steps. If you do not wish to use any Review Steps, simply do not assign any Users to the Review Step.

Option Menu: Workflow-Step Users

Click the kebab menu (3 dots) beside the Drop users here field to access its Option Menu.

  • Add User: Opens the Users and Groups dialog, from which you can drag a User (or User Group) into this field.
  • Document Owner: When the Workflow starts, the User who is the owner of the Document (i.e. who created it) will be assigned to this Job step.
  • Workflow Starter: When the Workflow starts, the User who starts the Workflow will be assigned to this Job step. Very useful for assigning Template Jobs to the User who clicks Start.
  • Delete User: Deletes the User from this Job step.

Option Menu: Workflow Action

  1. Double-click any Drop actions here field to open the Workflow Actions dialog.
  2. Drag an Action from the Workflow Actions dialog to the Workflow.

Once the Action is in the Workflow, click the kebab menu (3 dots) next to it to access its Option Menu.

  • Add Action: Re-open the Workflow Actions dialog (the same as double-clicking in a Drop action here field).
  • Edit: Open the Action Editor dialog for this Workflow Action (can also double-click the dropped Action).
  • Delete: Delete this Workflow Action from the Job step.

NOTE: It is not possible to drag Actions between positions in the Workflow. You must drag the Action from the Workflow Actions dialog and then set it up.
